Workflows - Standard & Custom

Community and Dedicated Plan subscribers may voluntarily activate the Standard Workflow when setting up a new contract from the Create Contract form. 

The Standard Workflow is a series of general notifications and approval steps.  Users assigned to a contract in the Standard Workflow will receive notifications by email when there are action items for them to complete.  The pending action items are organized in each user’s Inbox under the Members menu.  The Inbox is a convenient tool for quickly accessing contract records without having to search through the entire Edit Contract table to find and reload a single contract.

If NO users are assigned to a user role with active action steps in the Standard Workflow, then the Standard Workflow will skip the step and advance to the next step in the process.

If the Renewal Reminder Date is set when a contract is marked fully executed at the conclusion of the Pending Signature step, then the Standard Workflow will schedule a notification reminder to all contract team members on the Renewal Reminder Date.  When the contract team is updated after the Renewal Reminder Date, the workflow will restart.  The Renewal Reminder Date is scheduled at the time an executed contract is logged and cannot be reset outside the workflow from the Edit Contract page.  Scheduled reminders have to be rescheduled manually, or the workflow will have to be reverted to an earlier step.

The Standard Workflow is a voluntary option for managing large portfolios of contracts.  Reviews, approvals, and record editing may also be managed manually outside the Standard Workflow process solely with the Edit Contract tools and user Role restrictions.  The Edit Contract tools are only accessible by designated users with Roles that have access, including Account Managers, Attorneys, Contract Managers, Compensation Managers, and Approvers.

Only Custom Plan subscribers may request custom workflows tailored to their business processes.

Custom Plan subscribers can order an unlimited number of custom workflows with conditional logic.  Custom workflows are useful to trigger information technology risk assessments, OIG exclusion checks, credentialing activities, and other compliance requirements. The 11 standard workflow steps are listed below.

Unique workflows can be triggered by if/then conditional logic rules for specific contract types and field selections. Steps can be assigned to user roles or specific users. Custom Plan subscribers can send us your existing processes and workflows so we can help put your workflows in place and test them.  If you have unique questionnaires, we can convert them into web forms very quickly and easily.
